Privacy Policy

This policy explains what information Green Olive Systems LLC (“we”) collects when you use Top of the Chat (topofthechat.com), why, and what choices you have. Short version: we collect as little as we can, we use it only to run the Service, and we never sell it.

What we collect

• Your business name, trade, town and website address, which you give us to run the scan.
• Your email address, so we can send your scan and, if you buy, your fixes.
• The questions we ask AI assistants about your trade and town, and their answers.
• Payment status from Stripe if you buy (we never see or store your full card number).
• Basic, cookie-free usage statistics: which page was viewed and the referring website's domain.

We don't use advertising trackers or third-party analytics, and the site doesn't set tracking cookies. To prevent abuse we record a one-way, salted hash of your IP address that changes every day; we can't turn it back into your IP address. If you log in, a login token is stored in your browser so you stay signed in.

How we use it

• To provide the Service: run the checks or features you ask for and show or email you the results.
• To reply to your messages and send account, billing and service emails.
• If you gave us your email, to occasionally send relevant product updates or tips. Every such email has an unsubscribe link, and you can also unsubscribe at topofthechat.com/unsubscribe.
• To keep the Service secure, prevent abuse, and understand overall usage so we can improve it.

We don't sell your data

We do not sell, rent or trade your personal information, and we don't share it for advertising. We share data only with the service providers below, who process it on our behalf, or if required by law.

Service providers (processors)

• Supabase — database, authentication and server functions (stores the data listed above).
• Stripe — payment processing. Stripe collects your card details directly; we only receive payment status, amount and your email.
• Vercel — website hosting and content delivery.
• AI assistant providers (such as OpenAI) — we send them questions about your trade and town (never your email address) to run your scan.
• Our email provider — to deliver emails you've asked for or agreed to receive.

How long we keep it

We keep account and billing records while you're a customer and as long as needed for tax and accounting purposes. Results and submitted URLs from free use are kept for up to 24 months and then deleted or anonymized. If you unsubscribe, we keep your email on a suppression list so we never email you again.

Your choices and rights

You can ask us to show you, correct, export or delete the personal information we hold about you by emailing hello@topofthechat.com. We'll respond within 30 days. Depending on where you live (for example California or the EU/UK) you may have additional rights under local law, and we'll honor them.

Security

Data is encrypted in transit (HTTPS) and stored with providers that encrypt at rest. Access is limited to what's needed to run the Service. No system is perfectly secure, but we'll notify you promptly if a breach affects your information.

Children

The Service is for businesses and isn't directed at children under 16. We don't knowingly collect their data.

Changes

If we change this policy in a meaningful way, we'll update the date above and notify customers by email.
